Minutes of Beaumaris Bowling Club Annual General Meeting held at the Bulkeley Arms Hotel on Friday 18th November 2016 commencing at 7.30pm.

1 Chairman’s Welcome and Opening Remarks.

The Chairman welcomed everyone to the meeting and was pleased to see so many of the club members in attendance. He went on to thank the Secretary for all the hard work he had carried out throughout the season and also all the team captains for the work they had done. He also gave specific thanks to Geraint Owen for the work he had done in cutting the green and to the people that had provided raffle prizes for the Saturday Coast League home matches.

 

2 Apologies.

Apologies had been received from Dave Edwards, Alan Caughter, Martin Davidson, Gwyn Thomas, Hefin Williams and Pat Smithson.

 

3 Obituaries.

The Chairman sadly confirmed that since the 2015 AGM, two former members of the club, Gavin Williams and Derek Caughter, had passed away. He went on to say that Gavin and Derek were both characters in their own way and would be very much missed. As per expected practice the members then stood for a minutes silence as a mark of respect to them both.

 

4 Minutes of the 2015 AGM held on the 12TH November 2015.

The Secretary confirmed that these Minutes had been displayed on the Beaumaris Bowling Club website for some months and as such requested a proposer and seconder that they were a true and correct record.

 

Adam Harris proposed and Andrew Stanley seconded and they were unanimously accepted by all present.

 

5 Matters Arising from the Minutes.

The Secretary confirmed that there was only one relative matter which involved the building of the new pavilion at Happy Valley. He confirmed that he and Derek Stanley had recently met with the Mayor of Beaumaris Town Council, Mrs Gwen Jones-Owen to inspect the new plans that had been drawn up. These plans were very impressive and gave the bowling club a much bigger club house area. She confirmed that she had already secured the agreement of CADW and was in the process of speaking with the local landowner Sir Richard Williams – Bulkeley. The Town Council had also agreed to support her application to get planning condition. The Secretary stated that he had personally thanked the Mayor for the work she had put in and hopefully by the end of 2017 the new pavilion may be in the process of being built.

 

There were no other matters arising from the Minutes.

 

6 Hon Secretary’s Report.

The Secretary confirmed that he had again displayed his 2016 report on the Beaumaris Bowling Club website and as such he hoped the majority of the club members had read it. The report also gave an in depth resume of the performance of all the teams.

 

He added that it was nice to see Mike Ormond at the meeting after he had suffered a very difficult last few months with poor health.

 

He thanked all the club members who had supported him on the Presidents Day of the North Wales Coast on the 1st October at the Llanfair P G bowling club, and for the donation of £100.00 the club had provided him to help pay for the match day refreshments. He also thanked D T Evans for giving his services free of charge as the match day referee.

 

He congratulated Adam Harris for reaching the semi-finals of the Welsh Senior Merit at the Aston BC and the finals of the British Senior Merit at the Llay BC. He also congratulated all the club members who had been selected for the Welsh Senior and Junior squads and for the Mon Menai and Gwynedd Veterans teams.

 

He had had three matters of correspondence to bring up:

 

A letter of apology from the Blaenau BC in relation to involvement of one of their players when money had been stolen from Stuart Thomas’ wallet at the greenside.

 

A letter from the Welsh CGBA thanking the club for holding the 2016 Veterans Senior Merit Competition

 

A letter he had sent to the Beaumaris Town Council requesting a donation towards the cost of end of season renovation work on the bowling green. The Council had subsequently agreed to donate £600.00 towards the total £900.00 cost for materials and labour.

 

This concluded the Secretary’s Report.

 

7 Honorary Treasurers Report.

The Treasurer had previously handed out copies of the 2016 Balance of Accounts which had kindly been audited free of charge by Lotti Summers of Summers Accountants of Beaumaris.

 

The accounts showed that as of the 31st October 2016 there was a credit balance of £ 2157.67 in the bank. The balance was down by £ 365.67 on 2015 and was mostly due to the £300.00 the club had had to put towards the cost of the bowling green renovation work.

 

8 Acceptance of the 2016 Balance of Accounts.

 

The members did ask one or two questions on the accounts before Brain Begley proposed and Geraint Owen seconded that the accounts for 2016 be accepted. This was agreed unanimously by all present.

 

The Chairman thanked the Secretary and the Treasurer for their hard work and also extended his personal thanks to Lotti Summers for auditing the accounts free of charge and in such a professional manner.

 

9 Club Subscriptions 2017.

The Treasurer proposed no increase for the 2017 season and as such the subscriptions should stay the same. Namely:

 

Full Members            £30.00

Junior Members       £15.00

Country Members    £15.00

 

This was agreed unanimously by all present.

 

The Treasurer however registered his disappointment that some club members refused to support the club by not buying a raffle ticket for the Saturday Coast League home matches.

 

He therefore proposed and seconded by Tim Williams that a £1.00 per player match day charge be introduced for all Saturday home matches in 2017, which would then entitle every player to a raffle ticket. This was agreed unanimously by all present.

 

10 Election of Officers for 2017.

The members duly agreed to elect the following en bloc for the 2017 season.

11 Acceptance of new Constitution and Playing Rules.

The Secretary confirmed that as the current Constitution and Playing Rules had not been updated since 1986 (Trevor Ashenden), he had taken it upon himself during the summer to re-write and update them. He had sent copies to the Chairman, Vice Chair, Treasurer and Derek Stanley for information and comment and then listed them on the Beaumaris bowling club website for the members to read.

 

Derek Stanley proposed that they should be accepted but felt that one amendment should be made in that if the club ceased to exist that all club funds held in the bank be left in the hands of the Clubs Trustees for a period of three years and if by that time the club had not reformed, the funds be donated to the Welsh CGBA. This amendment was seconded by Stuart Thomas and agreed unanimously by all present, that once the amendment had been listed on the main copy by the Secretary that the 2016 drafts of the new Beaumaris BC Constitution and Playing Rules be accepted.

 

12 Team Captain Reports.

As the Secretary had listed a full summary of every teams performance over the 2016 season in his report including that of the individual aggregates, it was agreed that each captain made additional comments if they so wished.

 

13 Appointment of new Greenkeeper for 2017 season.

As Geraint Owen had indicated that he did not wish to continue with the green cutting duties in 2017, Derek Stanley confirmed that he was in the process of speaking with one of the junior greenkeepers at the Henllys Golf Club to see if he would be willing to cut and maintain the bowling green in 2017. He would update the members at the March 2017 pre-season meeting of any developments.

 

14 Appointment of Club Greenkeeper Co-ordinator for 2017 season.

The Secretary confirmed that he had personally received continued flak off some of the members in relation to the condition of the green during the 2016 season. He felt that this was unfair and as such wanted a nomination of a member(s) to act as a co-ordinator between the members and the new greenkeeper as to when the green should be cut, scarified and fertilised etc during the season. After some discussion Mike Ormond and Barry Harris were duly elected as the joint bowling green/greenkeeper co-ordinators for the 2017 season.

 

15 Notice of Motions listed for League AGM’s.

The Secretary confirmed that there were a number of notice of motions listed and as such the members had to decide how their representatives should vote on them. These were as follows:

 

Super League.

1 That any new club entering the league must have floodlights.      For

 

Anglesey and Bangor and District League.

1 Monday Night League – that the second doubles team be allowed 5 minutes practice if their opponents had already played in the first singles matches.    For

 

2 Wednesday Night League – That the numbers of players per team be reduced from 10 to 8 players.            For

 

3 Wednesday Night League – That the number of players playing in the Festival Cup and the John Griffiths Shield be reduced from 10 to 8 players.          For

 

4 Wednesday Night League – That only the final of the Festival Cup be played on a two leg basis and the final of the John Griffiths Shield be played on a one off final only.     For.

 

5 Monday and Wednesday Night Leagues – That a pro-rata fine system be introduced in relation to the repayment of league fees if a team pulls out of a league once the fixtures have been produced.   For.

 

6 Monday and Wednesday Night Leagues – That a fine system be introduced if a team refuses to play a re-arranged match once the new date has been set by the Fixture Secretary.   For.

 

16 Notice of Motions from the Members.

1 Andrew Stanley proposed and Keith Bailey seconded that the club only enters one team in the Gwynedd Cup Competition for the 2017 season. They felt that as Beaumaris were the only club who entered two teams in the competition, that the A team’s chances of winning it were disadvantaged when the B team were also playing on the green. After some discussion a vote was take and the motion failed as follows:   For 6, Against 8, abstained 1.

2 Keith Bailey proposed and Barry Harris seconded that the club only enters one team in the May Ashenden Memorial Knockout Cup competition in 2017. This was agreed unanimously by all present.

 

13 Any Other Business.

1 Trevor Ashenden confirmed that Cath Morris would shortly be moving from Beaumaris to live near her family in Lancashire and felt that it would be nice if the club sent her a card wishing her all the best for the future. The Secretary and the Chairman agreed that they would do so.

 

2 Geraint Owen requested that a sign be put up in the Happy Valley pavilion at the start of the 2017 season requesting that members and visiting players refrain from using bad language. The Secretary confirmed that he would attend to it.

 

As there was no other business the Chairman thanked everyone for attending and wished them a Happy Christmas and New Year.
